Deals are done, and agreements are struck in meetings––two people “hashing it out”. In the world of AI, we are still pretty “old school”.
Most of what gets agreed upon is also spread out across multiple meetings, and many stakeholders. A rep offers to hold your price for another year, or mentions in passing that migration support is included, and everyone nods along because it sounds settled. Nobody writes it down; they assume it will “make it into the contract”. The contract is drafted and sent to the CFO for signature; it’s then signed. You are contractually obligated.
That mistake compounds with each year you renew. A 5% delta in year one can be a three fold increase in a few renewal cycles.
Today, the seller keeps the history. The account manager has all of the information in one place––with calls, emails, and notes. They know exactly what was offered, what was received, and where you pushed back. Sales systems are highly collaborative, and are excellent at storing institutional knowledge.

Getting and keeping the record straight shouldn’t rely on humans. And certainly not one who has to remember to take notes, let alone logging them. Just connect your calendar, or add a meeting, and Nota joins your vendor calls. Now, you don’t miss a thing.
Alongside a summary and the full transcript, Nota surfaces the parts of the conversation that carry commercial weight: pricing that was quoted, commitments the vendor made, actions someone agreed to take, and dates that came up. Each of those signals links back to the moment it was said, which means that when someone asks six months from now whether the vendor really agreed to waive the implementation fee you can send them the video clip. Key dates get one extra step of help, since Nota turns them into suggested calendar events you can add to BRM with a click.
Your rules, on every call
Some things are worth catching on every call, and you know better than anyone what they are for your business. Write them as rules in plain language, such as "flag anything over $5,000 a month," and Nota will listen for them in every meeting you join.
Admins can go a step further with organizational rules, which run on every meeting in the company without exception. Say your team decided long ago that it won't sign a certain term. If a vendor proposes it, Nota flags it in that meeting's signals, so it gets caught well before anyone signs off.
Stored on the Relationship
A record only helps if you can find it when it matters, which is why Nota files each meeting on the vendor's Relationship page. It determines which vendor you were talking to from who was on the invite and what was said, then places the meeting next to the contracts, spend, and email already there, with your agreements with that vendor linked alongside it. Checking what the rep quoted against what you're actually paying becomes a matter of looking further down the same page, and Agents can now check that across all of your vendors.
Your team sees it there as well. Every meeting appears on the Relationship timeline, where colleagues can comment and tag whoever needs to hear a particular part of the conversation, and that context stays with the vendor long after the call.

The context always working
Once commitments and promises sit alongside the agreement and the spend they relate to, any gap between what you were promised and what you're paying is hard to miss. And when you find one, you have the evidence to raise it.
You also don't have to raise it alone. BRM Agents already know the contract, the spend history, and every email you've exchanged with the vendor, and with Nota they know what was said on the call as well. Ask one to follow up on the discount the rep promised, and it will draft a message that cites the moment it was agreed. Or, tell them to go through your vendor stack searching for discrepancies
You decide where Nota goes
Nota joins external vendor group calls by default, because those are the meetings it was built for, while internal 1:1s, internal group meetings, and external 1:1s each get their own toggle. For anything that doesn't fit your defaults, you can override a single meeting or a whole recurring series.
Who sees a meeting is your call as well. Private meetings are visible to everyone who was invited, public ones to your whole organization, and a private meeting can be shared with a specific colleague when they need it. Internal meetings are recorded for your team and are not filed on a vendor's Relationship.
Why this matters
Deals are struck in conversation, and the contract that follows rarely captures everything that was said. For years, the buyer's side of those conversations has lived in memory and inboxes and left when that memory eroded or when people left, while the seller's side sat safely in a CRM.
Nota closes that gap. Vendor promises stop slipping by unfulfilled and unnoticed, because every commitment is recorded in one place, next to the agreement it belongs to. You get what you negotiated for, and if you don't, you have the record and Agents ready to go after it for you.
